Set the leave policy

Browse the guidesLeave

The leave policy says when a leave cycle starts, how long it runs and how many days it carries. Leave reads the active policy for every request.

Steps

  1. Open Manage > Records and choose Leave Policy under Record types.
Record types under Manage > Records with Leave Policy outlinedRecord types under Manage > Records with Leave Policy outlined
  2. Press Add leave policy, or press the existing policy’s row to change it.
  3. Fill in:
    • Name: for example Annual leave.
    • A cycle started on: any date a cycle began. For a March to February leave year, any 1 March.
    • Cycle length (months): 12 for a leave year.
    • Leave days per cycle: the standing entitlement.
    • Active: ticked.
    • Leave over the turn of a cycle: how a request that starts in one cycle and ends in the next is charged.
      • Charged to the cycle it starts in: every working day is checked against, and taken from, the cycle the leave starts in. Blank means the same.
      • Split between the cycles: the working days before the turn are checked against and taken from the cycle the leave starts in; the days from the turn on, against the next cycle. Each cycle’s days come off as their own movement, dated in that cycle. If either cycle is short, the shortfall is offered as unpaid.

What you will see

The policy in the list. Requests raised from now on are checked against it.

Common problems

  • Keep one policy active. Leave reads the first active policy it finds.
  • Nothing resets at the end of a cycle. The new cycle follows from the start date and length; days dated in the old cycle stop counting by themselves. Carry-over is a movement you add, see Grant or carry over leave days.
  • Public holidays are not known. Working days are counted Monday to Friday.
  • Changing Leave over the turn of a cycle applies to requests raised from then on. A request already waiting keeps what it was checked against.
  • Leave over two turns of a cycle, which only a short cycle allows, is split at the first turn only: every day after it is charged to the next cycle.
