- Finish setting up your workspaceA service can be switched on and still not work: nobody holds the role its approval step asks for, or a step reads a record type that has no rows. The Setup list works this out from the services you have.

- Define a role and give it to peopleEach product addresses its approvals and forms to roles, such as Line manager or Sales manager. A product brings the roles it needs; you can rename them to your own words. You can also define roles of your own.
- Add or edit recordsSome records are set up by your organisation rather than made by a request: cost centres, budgets, leave policies, clients, projects, assets, stock items. Tenant admins add and edit them directly.
- Change your workspace's settingsSome choices hold for your whole workspace rather than for one step, such as whether a client signs off a supplier's proof. Each product you have lists its own. Every pipeline of that product reads them when it reaches the step that needs them.
- Change who is asked and how long they haveEach product lets you change some settings on its steps: who approves, who is told, how long an approval may wait before it is overdue, and how often to remind. The steps themselves, and the conditions between them, are the same for every organisation.
- Move a waiting approval to new approversAn approval keeps the people it was addressed to when it was raised. After you change who approves under Manage > Pipeline values or Manage > Roles, a request already waiting stays with the old people until you move it. You move one request at a time, and each move is recorded on the audit trail.
- Download the audit trailEvery action in your workspace is written to a trail that is added to and never edited. Each entry is sealed against the one before it. A checkpoint is the end of the trail emailed to your tenant admins, which lets an auditor confirm the history was not rewritten later.
- Add a service1. Press + (Add a service) in the rail, after your last service. On your workspace's home page you can also press the Add a service card. !The rail with the + Add a service mark outlined, after the last service 2. Read the cards. - Cancel a service1. Open Manage > Billing. 2. Type a reason under Why are you cancelling? if you want to give one. 5. Press Cancel at the end of the period, or Cancel followed by the service name and now (for example Cancel Leave now) if nothing is paid for it.
- What happens when you cancelYour workspace is cancelled when your subscription ends and nothing is paid for any more, or when a trial ends without a subscription. Thirty days later the workspace and everything in it is deleted.
